This page covers two related topics: our Privacy Policy (how we collect and use information) and our SMS Notification Program (how our internal employee text-message program works, including opt-in and opt-out). The SMS section is published here for transparency and SMS-carrier compliance.

Employee SMS Notification Program

Petro Ave LLC uses an internal scheduling platform — Hour by OpsPilot — to send shift notifications via SMS to our own employees. This section describes the program for transparency and carrier compliance.

When We Send

• When a manager publishes a new weekly schedule
• When an existing shift is added, edited, or moved
• When an open shift becomes available for coverage
• Optional shift-start reminders prior to a scheduled clock-in

Sample Messages

Opt-In

Employees explicitly opt in within the Hour by OpsPilot employee app the first time they sign in. A clear consent prompt explains that they will receive schedule notifications by SMS from Petro Ave LLC. Employees may decline and continue to use the app for in-app notifications only.

Opt-Out

Employees may opt out at any time by:

• Replying STOP to any message — standard SMS opt-out handled by our SMS provider (ClickSend); a confirmation message will follow
• Disabling SMS notifications inside the Hour employee app under Notification Settings
• Asking their store manager to revoke SMS consent on their account

Expected Volume

Low volume. Across both stores combined, we send fewer than 500 SMS messages per month under typical operating conditions. Schedule publication is weekly; ad-hoc notifications occur only when shifts are edited.

SMS Service Provider

SMS messages are delivered through ClickSend, a CTIA-aligned commercial SMS gateway. See the Privacy Policy section below for full details on data handling and the limited information shared with our SMS provider for the sole purpose of message delivery.

Privacy Policy

Petro Ave LLC ("we," "our," "us," or "Petro Ave") owns and operates two convenience-store gas stations in eastern North Carolina. This Privacy Policy explains how we collect, use, and protect information about our employees and the limited information we receive from customers at the storefront.

1. Who This Policy Covers

This policy primarily covers:

• Petro Ave LLC employees whose phone numbers, schedules, and work information are processed through our internal scheduling system
• Recipients of our employee SMS notifications who have opted in to receive schedule-related text messages
• Job applicants who submit information through our online application form

We do not collect, store, or share information about retail customers who simply purchase fuel or merchandise at our stores, beyond the standard point-of-sale transaction records required for accounting and tax compliance.

2. Information We Collect About Employees

• Identity: Name, role, store assignment
• Contact: Mobile phone number (used only with explicit consent — see Section 4)
• Schedule and time data: Work schedules, clock-in/out timestamps, breaks, overtime
• Wage records: Pay rate and pay history, as required for payroll compliance
• SMS consent records: Whether an employee opted in to SMS notifications, and the timestamp of that consent

3. How We Use Employee Information

• Publishing and notifying employees about their work schedules
• Calculating wages and producing payroll
• Maintaining attendance and audit records required by law
• Sending the SMS notifications described in Section 4

We do not use employee information for marketing, advertising, or any third-party sales purpose.

4. SMS Communications — Opt-In, Opt-Out, and Sender Identity

What we send: Schedule publications, shift edits, open-shift coverage requests, and (when enabled by the employee) reminders before a scheduled shift. We do not send marketing, promotional, or third-party content via SMS.

Sample message: “Hi Sarah! Your schedule at Petro Ave #1 has been updated. New shift added: Mon, May 26, 9:00 AM – 5:00 PM.”

How to opt out:

• Reply STOP to any SMS message. Standard SMS opt-out is handled by our SMS service provider; you will receive a one-time confirmation and no further messages.
• Disable SMS notifications in the employee app under Notification Settings.
• Ask your store manager to remove SMS consent from your employee record.

5. Software and Service Providers We Use

To operate our scheduling and SMS notification program we rely on the following service providers. They process limited information solely to deliver their services to us and are not authorized to use it for their own purposes:

• Hour by OpsPilot (OpsPilot LLC) — the scheduling and time-clock platform we use to publish schedules and trigger employee notifications. It stores employee names, phone numbers, schedules, and timeclock data on our behalf.
• ClickSend (Sinch / ClickSend Pty Ltd) — the SMS gateway that transmits our outbound text messages to mobile carriers. ClickSend receives the recipient phone number and message body for each message we send.
• Supabase — the underlying encrypted database where employee and schedule data is stored.
• Netlify — hosts this website and the employee scheduling web application, and processes job-application submissions made through our online careers form.

6. Job Applicant Information

When you submit a job application through the Careers page on this website, we collect the information you choose to provide (name, contact details, position applied for, work history, references, and any optional resume file). This information is delivered to our hiring inbox by Netlify Forms and is used solely to evaluate your application. We retain application materials for a reasonable period to consider candidates for future openings, after which we delete or archive them. You may request deletion of your application materials at any time by emailing us at the address in Section 11.

7. Data Storage and Security

Employee data is stored in an encrypted database with access restricted to authorized managers and the business owner. We do not store credit-card numbers, Social Security numbers, or other sensitive financial credentials in the scheduling system.

8. Data Sharing

We do not sell employee phone numbers or personal information. We share information only:

• With our service providers listed in Section 5, strictly as needed to deliver schedules and SMS notifications
• With tax, payroll, or regulatory authorities when legally required
• With the employee themselves on request

9. Data Retention

We retain employee scheduling and SMS records for the period required by federal and North Carolina state employment recordkeeping rules. Former employees may request earlier deletion of their phone number from our SMS records by emailing the address in Section 11.

10. Your Rights

You may request access to, correction of, or deletion of your personal information by contacting us. Employees may revoke SMS consent at any time using the opt-out methods in Section 4.

11. Children

Our employee scheduling and SMS program is intended for employees who are at least 16 years of age. We do not knowingly collect personal data from individuals under 16.
